Privacy & Data Notice

Lease Intelligence is committed to handling your data responsibly. This notice explains how we collect, use, store and protect the information you provide when using our service.

1. Information We Collect

When you submit an order, we collect:

  • Your lease document (PDF or Word file)
  • Your name (as it will appear on the report) and email address
  • Lease type selection (page count tier chosen at checkout)
  • Payment information: processed securely by Stripe — we do not store card details
  • Your preference regarding anonymised data use, recorded at the time of order

2. How We Use Your Information

Your information is used to:

  • Process your order and produce your lease summary report
  • Deliver the completed report to you by email
  • Contact you if clarification is needed to complete your report, or to follow up on any queries
  • Process payment through our payment provider (Stripe)

3. Document Retention

Your original lease document is stored securely in private cloud storage and is automatically deleted 90 days after your order is placed. This retention period allows us to address any follow-up queries or corrections related to your report. Your document is not accessible to any third party and is used solely to prepare your report.

4. Use of Extracted Data

During checkout, you may choose to contribute anonymised lease data (such as rent amounts, lease terms, and property size) to help build market benchmarking tools. This option is enabled by default but can be unchecked at checkout. It is not required to complete your order.

If you opted in: anonymised, non-identifiable data extracted from your lease may be retained indefinitely and used for purposes including:

  • Service improvement and quality assurance
  • Market analysis, benchmarking and research
  • Development of aggregated data products, commercial analytics and market benchmarking services
  • Statistical reporting and industry insights

Contributors who opt in may be eligible for introductory benefits (such as early access or a complimentary report) when market benchmarking services become available. Any such benefits are offered at Lease Intelligence’s discretion and are introductory in nature.

If you did not opt in: data extracted from your lease is used only to produce your report and is not retained for any other purpose.

In all cases, extracted data is strictly anonymised — no names, addresses, or personally identifiable information are associated with any retained data.

5. Data Security

We take reasonable measures to protect your data, including:

  • Encryption of data in transit and at rest
  • Private cloud storage with strict access controls
  • PCI-compliant payment processing through Stripe

6. Third Parties

We use the following third-party services in the course of providing our service:

  • Stripe — payment processing
  • Cloudflare R2 — private document storage
  • Resend — email delivery

We do not sell your personal information to third parties. Your lease document is never shared with any third party.

7. Your Rights

You may request deletion of your personal data or documents at any time by contacting us. Requests are actioned within a reasonable timeframe. Please note that anonymised, aggregated data that has already been extracted and retained (where you opted in) cannot be individually identified or deleted, as it contains no personally identifiable information.
